Event porta potty calculator
Method: Jason Rental Works house rule — 1 unit per 50 guests up to 4 hours, 1 per 35 for 4–8 hours, 1 per 25 beyond 8 hours, always rounded up; accessible count from 2010 ADA Standards §213.2 (5%, minimum 1).
How does Jason Rental Works figure how many porta potties an event needs?
Our dispatchers start with 1 standard porta potty per 50 guests for events up to 4 hours. Events of 4 to 8 hours use 1 per 35 guests, and anything longer, including overnight, uses 1 per 25. The count always rounds up, and then we add units for alcohol, crowd mix, food, accessibility and Laredo summer heat.
- Count everyone on the property. Guests, kids, band, servers, the cake lady, the photographer. If the invitation says 120, plan for 120 even if you expect a few no-shows.
- Pick the time bracket. Use the hours people are actually on site, not the hours on the invitation. One caller told us, "The invitation says 4, but people always show up early."
- Divide and round up. 120 guests at a 6-hour party: 120 ÷ 35 = 3.4, so 4 units. Never round down; a fraction of a unit is a line of people.
- Apply the adjustments. Add for alcohol, a mostly female crowd and summer heat, then set aside 5% for wheelchair access and add hand-wash stations for food.
This is our house method — the same one dispatch uses on the phone at (956) 396-3700. It is not a law. Where a law or official policy sets a floor, we show it separately further down so you can see the legal minimum next to our recommendation.
How many porta potties for 50, 100, 200 or 500 guests?
Before adjustments, 50 guests need 1 porta potty for up to 4 hours and 2 for a longer party. One hundred guests need 2, 3 or 4 units depending on length. Two hundred guests need 4 to 8 units, and 500 guests need 10 to 20. Find your guest count, then read across to your event length.
| Guests | Up to 4 hours | 4–8 hours | Over 8 hours / overnight | If food: hand-wash stations (4–8 h column) |
|---|---|---|---|---|
| 25 | 1 | 1 | 1 | 1 |
| 50 | 1 | 2 | 2 | 1 |
| 75 | 2 | 3 | 3 | 2 |
| 100 | 2 | 3 | 4 | 2 |
| 150 | 3 | 5 | 6 | 3 |
| 200 | 4 | 6 | 8 | 3 |

Base standard units only, before the adjustments below. Hand-wash column = 1 station per 2 toilets, rounded up, using the 4–8 hour count. Method: Jason Rental Works house rule.
for about 100 guests is what one homeowner in our call sample booked, and nobody on that call flagged it. Our chart says 2 for a short party and 3 or more once the evening runs long or the cooler opens.
Source: 19 recorded porta potty rental calls reviewed by our office, 2026.callers needed a unit for a single day or evening. Short events still follow the chart: a one-day party for 75 people that runs 5 hours needs 3 standard units, not 1.
Source: 19 recorded porta potty rental calls reviewed by our office, 2026.What changes the number of porta potties I need?
Five things change the count after the chart: alcohol adds 1 unit per 100 guests, a mostly female crowd adds 1 per 100, food adds 1 hand-wash station per 2 toilets, accessibility sets aside 5% of units, and a Laredo summer event over 6 hours adds 1 unit per 150 guests.
| Adjustment | When it applies | What to add | Why |
|---|---|---|---|
| Alcohol | Beer, wine, a bar or a cooler of beer at the carne asada | +1 unit per 100 guests, minimum +1 | People who drink go more often and stay longer. |
| Mostly female crowd | Weddings, quinceañeras, baby and bridal showers | +1 unit per 100 guests | Every visit uses the seat, so each visit takes longer. |
| Food served | Any meal, taquiza, fajitas, cake or snack table | 1 hand-wash station per 2 toilets, minimum 1 | Guests wash before eating, not just after the restroom. |
| Accessibility | Public events; any private event with a guest who uses a wheelchair or walker | 5% of units per cluster, minimum 1, wheelchair-accessible | 2010 ADA Standards §213.2 for public sites. |
| Laredo summer heat | May–September events longer than 6 hours | +1 unit per 150 guests | Heat means more water, more drinks and more trips. |
Why Laredo gets its own summer adjustment
Laredo averages 100.8°F in July and sees about 74 days a year at or above 100°F. Guests at an outdoor carne asada in August drink water, aguas frescas and beer all afternoon, and every one of those drinks becomes a restroom trip. Heat also builds odor inside a plastic unit faster, so lines feel longer than they are.
That is why our dispatchers add 1 unit per 150 guests when a May–September event runs past 6 hours. A 150-guest summer graduation party from 2 pm to 10 pm goes from 5 units to 6. Place them in shade if you can — a tree line or the north side of the house — and read our Laredo summer heat service tips.
How many porta potties do typical Laredo events need?
Five examples cover most orders: a 30-person camp-out needs 2 units, a 60-guest 90th birthday needs 2 units plus a sink, a 100-guest home gathering needs 2 to 3, a 200-guest quinceañera with a bar needs 10, and a 2,000-person festival day needs about 78. Each example below shows every step of the math.
30 people, Saturday to Sunday, ranch land off Mines Road
- Overnight counts as over 8 hours: 30 ÷ 25 = 1.2 → 2 standard units.
- No bar, mixed crowd, March: no alcohol, crowd or heat add-on.
- Cooking over a fire pit: 2 toilets ÷ 2 = 1 hand-wash station.
- Accessible: nobody in the group uses a wheelchair, so none required on private land.
Order: 2 standard + 1 hand-wash station. A caller with a similar 30-person weekend booked a single unit. One unit can work only if half the group sleeps in a house with its own bathroom. Ranch drops need a map pin and the gate code; see ranch and hunting-lease rentals.
60 guests, 5 hours, October afternoon, food, no bar
- 5 hours is the 4–8 hour bracket: 60 ÷ 35 = 1.7 → 2 units.
- No alcohol, mixed crowd, October: no add-ons.
- Older guests, some with walkers: make 1 of the 2 wheelchair-accessible.
- Food: 2 ÷ 2 = 1 hand-wash station.
Order: 1 standard + 1 wheelchair-accessible + 1 hand-wash station. The first-time renter behind this kind of call asked, "Is it really nice?" If looks matter, swap the standard for the deluxe flushing unit with a sink; the count stays the same.
About 100 guests, backyard, Friday drop and Monday pickup
- If guests stay 4 hours or less: 100 ÷ 50 = 2 units.
- If the party runs 5 or 6 hours: 100 ÷ 35 = 2.9 → 3 units.
- Beer on ice: +1 per 100 → 3 (short party) or 4 (long party).
- Plates of food: 2 or 3 toilets ÷ 2 → 1 or 2 hand-wash stations.
Order: 2–3 standard units, plus a sink. In our call sample, one homeowner booked a single unit for about 100 guests. A single 60-gallon tank and one door for 100 people means a line from the first hour and a unit near full by dark.
200 guests, 7 hours, October Saturday night, bar and dinner
- 7 hours is the 4–8 hour bracket: 200 ÷ 35 = 5.7 → 6 units.
- Bar: +1 per 100 → +2 → 8.
- Mostly female crowd (damas, family, friends): +2 → 10.
- October, so no summer add-on. (In July, +2 more → 12.)
- Accessible: 5% of 10 = 0.5 → minimum 1 wheelchair-accessible.
- Dinner: 10 ÷ 2 = 5 hand-wash stations.
Order: 9 standard or deluxe + 1 accessible + 5 hand-wash stations. You can upgrade 2 of the 9 to deluxe units near the head table; the count stays the same. More planning help is in our quinceañera porta potty checklist.
2,000 people on day one, 10 am to 6 pm, beer garden, food vendors, open field
- 8 hours is the 4–8 hour bracket: 2,000 ÷ 35 = 57.1 → 58 units.
- Beer garden: +1 per 100 → +20 → 78 units.
- Mixed crowd and an October date: no crowd or heat add-on. (A June date over 6 hours would add 14 more.)
- Accessible: 5% of 78 = 3.9 → 4 wheelchair-accessible, spread so each restroom cluster has at least 1.
- Food vendors: 78 ÷ 2 = 39 hand-wash stations.
- Two-day event: add Saturday-night service on every unit so day two starts clean.
Order: about 74 standard + 4 accessible + 39 hand-wash stations, with overnight service. The nonprofit festival caller in our sample was working from a draft of 12 toilets and 3–4 sinks for roughly 2,000 people, and had not planned an accessible unit until the agent raised it. Festival orders go out on a scheduled delivery with 48 hours' notice or more; see festival and large-event planning.

How many porta potties does a construction crew need?
OSHA 29 CFR 1926.51(c) Table D-1 sets the legal minimum: 1 toilet for 20 or fewer workers, 1 toilet seat and 1 urinal per 40 workers from 20 to 199, and 1 seat and 1 urinal per 50 workers at 200 or more. Count the peak day, with every trade and every sub.
A standard PolyJohn PJN3 has a seat and a urinal, so one unit counts for both. A 45-person crew on a Killam Industrial Park warehouse slab needs 2 units under Table D-1. Our recommendation adds service, not just units: from May through September, crews of 8 or more get 2 service visits a week in Laredo heat.
Farm and ranch hand crews fall under OSHA 1928.110 instead, and warehouses with permanent restrooms follow 1910.141. The full breakdown, including Texas and City of Laredo rules, is in our OSHA and Texas porta potty rules guide. For billing and weekly service, see construction site toilets.

Is there a legal minimum number of porta potties for events in Texas?
No single Texas number covers every event. The Texas Mass Gatherings Act, Health and Safety Code Chapter 751, applies to events outside city limits with more than 2,500 people and asks for a sanitation plan. Hidalgo County's 2016 mass-gathering policy sets a clear ceiling of no more than 50 people per toilet seat.
Hidalgo County: 50 people per seat
Hidalgo County's mass-gathering policy (2016) allows no more than 50 people per toilet seat, separate and plainly marked for men and women, with hand washing near each toilet. Organizers file with the County Judge's office at least 45 days ahead.
Compare it with our chart. For the 2,000-person festival above, the Hidalgo ceiling works out to at least 40 seats. Our method lands at 78 units because it adds time on site and a beer garden. The policy is the floor; our count is what keeps lines short. Hidalgo's rule applies only to permits in Hidalgo County, which includes our Edinburg and Rio Grande Valley routes.
Texas Ch. 751: when the state steps in
The Texas Mass Gatherings Act (Health & Safety Code Ch. 751) covers events outside city limits that draw more than 2,500 people — or more than 500 when at least 51% are under 21 and alcohol is present — and last more than 5 hours or run overnight.
Those events need a permit from the county judge, and the application must be filed at least 45 days before the event. In Webb County that means the Webb County Judge. Inside Laredo city limits, call City of Laredo 311 to confirm the current event permit process before you finalize your restroom plan.
Where should several porta potties go at a large party?
Group 2 or more porta potties side by side on level, firm ground the truck can reach, with 3 feet clear in front of each door. Keep the cluster away from the food tables but within sight of the party. Put the hand-wash stations at the end of the row, so guests pass them on the way back.
- The truck needs a path about 10–11 feet wide and nothing hanging below 12 feet.
- Skip low ground. Laredo flash floods are real, and a unit in a ditch is a unit nobody uses.
- A standard unit needs a 48-inch or wider gate to reach a backyard.
- Mark the spot with a cone or chair, or text a photo to (956) 396-3700.
More placement detail for caliche lots, creeks and cattle guards is in our placement guide.
callers did not know where the unit would go when they booked. That is fine: text a photo before delivery or show the driver on the day.
